PRIVATE MEETING ROOMS

In 2026, the Trading Room, General Session(s), and Lunch will take place on the Sapphire Level. Additional content and committee sessions will take place between the Sapphire and Aqua levels. 

Private meeting rooms are located on the Aqua (3rd), Sapphire (4th) and Cobalt (5th) levels of the hotel. Additional meeting needs may be placed in suites as a 'last resort' based on demand. 

Private Meeting Rooms are available starting on Monday, February 16 (at 2:00 PM) through Thursday, February 19.

There are a limited number of Private Meeting Rooms available. Once a Private Meeting Room request has been paid for via this registration site, you will be connected within three (3) business days with a Hilton hotel partner to begin formalizing your meeting room needs. Securing a meeting room during this process means a meeting room is available for you to book. You do not need to be attending the conference to register for private meeting space. 

Room rental fees are charged to secure private meeting space during the conference via this registration website. F & B minimums, starting at $150 per meeting room, per day, will be charged by the hotel in order to continually service and refresh your room. All food & beverage MUST BE ordered through the Hilton Bayfront, and outside food & beverage is strictly prohibited. 

ASTA is currently only accepting requests for a maximum of two private meeting rooms per company. Additional meeting room requests over the two maximum may be accommodated on a space-available basis and should email Francesca (meetings@betterseed.org).
